Know who has your tools and what hasn't come back.
Record equipment your staff take from the store, scan it back on return and see what is still outstanding. Software, suitable RFID hardware and implementation for New Zealand businesses.
Software, suitable hardware and implementation in New Zealand.
From the store and back.
Review what returned and what still needs follow-up.
Less chasing to establish who has what.
Equipment leaves the store with staff. Some comes back and some stays out. When the records sit in separate lists or rely on memory, the owner or operations manager has to chase the answer.
Who received it?
Record equipment against the person receiving it through the issue process.
What came back?
Process returned, recognised equipment through the scanning workflow.
What needs follow-up?
Review equipment still issued so staff know where to start their investigation.
The workflow
A practical store issue and return process.
The first workflow is equipment issued from a store or depot to a person and returned there after use. The illustration is an example of that process.
Prepare the equipment
Register suitable equipment, assess tags and prepare the staff or order records.
Record who takes it
Select the intended person, scan the equipment and complete the issue workflow.
Scan it back in
Record recognised equipment through the return process when it comes back to the store.
Follow up what is still out
Use the outstanding issue records to ask the right person about equipment that has not returned.
The setup
Fit the scanning to the store.
Start with the way your staff collect and return equipment. Assess where a scan can reliably happen and what the operator needs to do.
Equipment suitability
Tools, cases, metal surfaces and handling conditions affect tag selection and placement.
A usable store process
Choose an issue and return point that fits the physical handover and staff routine.
Useful starting records
Bring your equipment list and staff or order records. We assess the data and any integration requirements.

Implementation experience
The same issue and return capability in regalia.
GWC’s regalia operation uses Ledger to connect recipients, issued assets and returns. That implementation demonstrates the issue and return capability with regalia. We assess tag suitability and the capture process separately for your equipment.

Software, hardware and a workflow that fits.
For New Zealand projects, we bring Ledger software, suitable RFID equipment and implementation together. We start by assessing your process, then demonstrate the relevant workflow.
You bring knowledge of the operation, your existing records and a person who can own the rollout.
Assess the workflow
Agree what needs to be recorded, where scanning can happen and what staff need to know.
Define the setup
Assess tags and readers, existing data and any integration work. Agree scope, costs and support responsibilities.
Put it into practice
Configure the agreed workflow and plan how staff will use it. Start with a manageable part of the operation.
What goes into the cost?
Project scope covers software access, hardware and tags, and implementation. Any additional integration work is scoped separately. We discuss these components once the workflow and equipment needs are understood.
Outside New Zealand?
International software enquiries are welcome. Wider hardware and implementation support can be discussed for substantial projects.

Bring your process and equipment questions to the workflow assessment.
Will RFID work with all our tools?
Tag and reader suitability needs assessment. Material, placement, handling and the capture area affect the result. We assess a suitable equipment group before agreeing the setup.
What if only some equipment comes back?
Returned assets are processed through the return workflow. Other assets remain issued until their returns are recorded, so staff can review what is outstanding.
Does this track tools continuously between sites?
This page describes issue from a store and return to that store. It records custody and returns. It does not describe live location tracking between work sites.
Do we need to replace our existing records?
Not necessarily. Existing equipment and staff records can be a starting point. We assess the required data and agree any integration or preparation work.
Can we start with part of the store?
The assessment can define a manageable group of suitable assets and a repeatable handover process. Software, equipment and implementation scope are agreed together.
Start with your workflow
Assess the workflow. See Ledger in action.
We’ll talk through your process, assess the scanning and record requirements, then demonstrate the relevant Ledger workflow.
